Client Booking Agreement – Maria Underhill

1. Booking & Deposit Terms

I agree to pay a non-refundable deposit of at least 40% to secure my session. I understand that payment must be made on a weekday if my session falls on a weekend. I agree to pay the remaining balance at least 24 hours before the session.

A non-refundable deposit of at least 40% of the total session fee is required within 24 hours of receiving your session confirmation. This deposit secures your date and time. The remaining balance must be paid in full no later than 24 hours before the session. If your session falls on a weekend, please ensure payment is made in advance during the weekday, as bank transfers may not process over weekends. A session is not confirmed until the deposit clears.

2. Rescheduling & Cancellations

I understand that rescheduling requires at least 48 hours’ notice. I agree that deposits are transferable once only and expire after 30 days. I understand that late cancellations or no-shows will result in loss of my deposit.

You may request to reschedule your session with a minimum of 48 hours’ notice. Deposits are transferable one time only and the new session date must be scheduled within 30 days of the original date. Further reschedules will require a new deposit. Cancellations made with less than 48 hours’ notice, or no-shows, will result in the deposit being forfeited.

3. Session Details & Delivery

I understand the number of images included and the delivery timeframe after full payment.

Your package includes a set number of final edited high-resolution images, which will be delivered via a secure online gallery. Delivery will occur within 7–14 days after the session has taken place and full payment has been received.

4. Late Arrival

I agree to arrive on time and understand that late arrival may reduce my session time.

Sessions begin and end at the scheduled time. Late arrivals will not result in extended time or additional images.

4. Weather (For Outdoor Sessions)

I understand that rescheduling may be necessary in case of poor weather.

If poor weather conditions affect an outdoor session, the Photographer may reschedule to the next available date. Clients will be notified as early as possible in such cases.

5. Additional Fees

I understand that any extra costs will be added to the final invoice only if agreed upon.

Any extra services, travel costs, or location-specific fees will be clearly discussed and agreed upon in advance.

10. Appearance Responsibility

I agree that I am responsible for my own appearance and preparation for the shoot.

The Photographer is not responsible for styling, wardrobe, makeup, or hair. It is the client’s responsibility to arrive camera-ready. This includes clean clothing, appropriate grooming, and any specific looks the client wishes to achieve. Retouching services for clothing, makeup corrections, or cosmetic edits will not be included unless previously discussed and paid for.

11. Guests, Additions & Session Changes

I agree not to make changes to the session on the day without prior approval. I agree to pay any added fees within 24 hours if extra people are included on the day. I understand the Photographer may end the session or pause delivery if this is not followed.

The session plan agreed before the shoot is final. Additions or changes to the number of participants (e.g., bringing additional family members, friends, or pets) must be communicated and approved before the session. If you choose to include extra individuals or changes on the day, you must notify the Photographer immediately and pay any additional charges in full within 24 hours of the shoot. If this payment is not received, editing will be withheld until payment is made. The Photographer reserves the right to end the session early or exclude unapproved individuals if session integrity is affected.

12. Creative Control & RAW Files

I understand that the Photographer chooses and edits the final images and that RAW files will not be provided. I agree not to request extra editing unless previously discussed and paid for.

The Photographer maintains full creative control over all aspects of the session, including image selection and editing. RAW (unprocessed) files will not be provided under any circumstances. All final images are delivered in the Photographer’s established style, and additional retouching requests may incur a separate editing fee.

13. Agreement Confirmation

I confirm and agree to this booking agreement.
