Client Booking Agreement – Client Session
Please read carefully before submitting: By completing and submitting this form, you confirm that you are the individual who has booked this session and that you are fully responsible for the session terms on behalf of yourself and any other participants included. You acknowledge that Maria Underhill is the Photographer and service provider for this booking, and that this agreement outlines the terms between you (the client/booker) and the Photographer. All communication, decisions, and responsibilities regarding the session will be coordinated through the person submitting this form.
A non-refundable deposit of at least 40% of the total session fee is required within 24 hours of receiving your session confirmation. This deposit secures your date and time. The remaining balance must be paid in full no later than 24 hours before the session. If your session falls on a weekend, please ensure payment is made in advance during the weekday, as bank transfers may not process over weekends. A session is not confirmed until the deposit clears.

You may request to reschedule your session with a minimum of 48 hours’ notice. Deposits are transferable one time only and the new session date must be scheduled within 30 days of the original date. Further reschedules will require a new deposit. Cancellations made with less than 48 hours’ notice, or no-shows, will result in the deposit being forfeited.
Your package includes a set number of final edited high-resolution images, which will be delivered via a secure online gallery. Delivery will occur within 7–14 days after the session has taken place and full payment has been received.
Sessions begin and end at the scheduled time. Late arrivals will not result in extended time or additional images.
If poor weather conditions affect an outdoor session, the Photographer may reschedule to the next available date. Clients will be notified as early as possible in such cases.
Any extra services, travel costs, or location-specific fees will be clearly discussed and agreed upon in advance.
The Photographer is not responsible for styling, wardrobe, makeup, or hair. It is the client’s responsibility to arrive camera-ready. This includes clean clothing, appropriate grooming, and any specific looks the client wishes to achieve. Retouching services for clothing, makeup corrections, or cosmetic edits will not be included unless previously discussed and paid for.
The session plan agreed before the shoot is final. Additions or changes to the number of participants (e.g., bringing additional family members, friends, or pets) must be communicated and approved before the session. If you choose to include extra individuals or changes on the day, you must notify the Photographer immediately and pay any additional charges in full within 24 hours of the shoot. If this payment is not received, editing will be withheld until payment is made. The Photographer reserves the right to end the session early or exclude unapproved individuals if session integrity is affected.
The Photographer maintains full creative control over all aspects of the session, including image selection and editing. RAW (unprocessed) files will not be provided under any circumstances. All final images are delivered in the Photographer’s established style, and additional retouching requests may incur a separate editing fee.
